Dear Parent

 

 

LIAISON BETWEEN PARENTS AND SCHOOL

 

 

The staff of Durbanville Primary School believe that it is very important that parents should always be informed of all the activities which are presented at our school.  For this reason, proper communication channels are important.

 

We would like to share the following arrangements with you:

 

1.                   CIRCULARS

 

In future circulars will be sent to parents by e-mail as this will ensure effective communication.  This direct communication with our parents will relieve the learners from this responsibility.  If, however, you would still like to receive a hard copy, we will provide it.  We advise you to keep the circulars, digital or hard copy, for reference at a later stage, as the information in some circulars is applicable over a long period of time.

 

2.                   FLYERS

 

Although you do not have to sign for these, we request you to study these carefully, as this is also a medium of communication.  It serves mainly as a short term reminder for activities taking place within a day or two.

 

3.                   CONTACT BY TELEPHONE

 

The school has 5 telephone lines.  You are welcome to contact teachers during breaks (10:30 – 10:50 and 12:46 – 13:01) and after school.  However, during this time the lines are often engaged as many calls are made then.  We advise you to phone at any other time and to leave a message with the secretary.  The teacher concerned will return your call as soon as possible.  It is, however, very difficult for teachers to phone during class time, therefore return calls in class time will only be made in an emergency.  Most of the staff members have no free periods during the day and we therefore request you to be patient.

 

For information regarding the school’s sports programme in case of poor weather conditions, dial 976-8115 (after 13:00) and use the sports option (number 4).   Mr F. Roux (sports organiser) or an answering machine, will give you the arrangements for that afternoon.

 

 

 

 

 

 

 

 

 

4.                   ARRANGEMENTS WITH REGARD TO DISCIPLINARY AND ACADEMIC MATTERS

 

Please contact the grade heads in connection with academic and/or disciplinary matters.  The grade heads for 2008 are as follows:

 

                  Grade 4:            Mrs A. Leslie

                  Grade 5:            Mrs S. Kotzι

                  Grade 6:            Mrs L. van Niekerk

                  Grade 7:            Mrs L. Bester

 

From 2008 the grades will meet weekly under the leadership of a head of department to discuss disciplinary matters.  You will be informed of the discussions which took place, if your son/daughter has been involved in disciplinary problems.

 

5.                   ARRANGEMENTS WITH REGARD TO LATE AFTERNOON EXTRA-MURAL ACTIVITIES

 

The increased participation in sport and cultural activities by our learners, has resulted in more coaching sessions.  This implies that some learners will be at school till late in the afternoon.  If learners are fetched late and they have to wait alone in Weyers Avenue, we strongly recommend that you should rather make arrangements for your child to wait at the Aftercare (especially at twilight).

 

-          Please note that the Aftercare facility is housed in the prefabricated buildings next to Durban Road (close to the subway) until 17:30.  There is, therefore, always someone in that area.

 

The following arrangements have been made, should a learner’s parent or the lift arrive late and the child becomes anxious:

 

-          If it is before 15:30 and it is an urgent matter, the pupil may phone from the secretary’s office (record will be kept for payment).

 

-          If it is after 15:30 and the pupil has no money or telephone card and an urgent matter arises, the pupil may use the phone at the Aftercare Centre.  Mrs Swart will keep a record of the call for payment.

 

-          Learners may also phone from the telephone call box by using a phone cardIt is advisable to purchase a phone card for your child.  These are available at Telkom offices, CNA, Friendly Stores and it may also be bought during first break at the financial office.

 

-          We remind you that the school building will be locked at 17:00 (Fridays at 16:00).

 

-          The subway will be closed at 17:00 during the week and at 16:00 on Fridays.

 

The above-mentioned arrangements are for unforseen circumstances when you are unable to get to school on time, e.g. traffic jam.  We encourage pupils to use the telephone card whenever possible.

 

We, however, urge you to fetch your child on time or to make sure that his/her lift will be on time, as the children become anxious if they have to wait for too long.
