 Circular 28/2008                                                                                     6 August 2008

Dear Parent

GREY-TOUR : 15 – 16 AUGUST 2008

1.                   GENERAL

This circular must please be read in conjunction with Circular 27/2008 for more information and clarity.

After consulting with senior girls and coaches the wish was expressed by these parties to be part of the above mentioned event, despite the fact that Oranje will no longer be traveling to Cape Town – with this in mind numerous phone calls were made to various schools as far as Hermanus.  We can therefore inform you that matches have been arranged for all three winter sport codes.  Unfortunately we could not arrange matches for all teams, but we would like to invite all parents and learners to support the teams who will be playing. You and the learner’s presence creates a pleasant atmosphere at this sporting highlight of the year.  We will still have a Big Brag to introduce the teams who will be taking part on the day. We would like to create a pleasant atmosphere for our visitors from Grey, who took exreme measures to make sure that they could travel to Cape Town.

We would like to thank the primary schools Van Riebeeck Strand, Welgemoed, Panorama and Bastion for the positive manner in which they agreed to arrange teams to fill in the gaps for our sports day.   We truly appreciate this gesture.  We would also like to inform you that many of the schools we contacted, already had previously arranged sporting commitments, which had been arranged in the previous year.  Please refer to the attached addendum for a breakdown of teams who will be participating.

2.                   WELCOMING FUNCTION

This year the function will be held at Clara Anna Fontein on Friday 15 August 2008 for the official group from Bloemfontein, coaches of Van Riebeeckstrand, Welgemoed, Panorama and Bastion the coaches from the various Durbanville sports teams and the organizing committee.  This arrangement was made as space is limited and costs could be cut.

3.                   BIG BRAG

On Thursday 14 August 2008 a Big Brag occasion will take place during school hours to promote spirit. All participating teams will have the opportunity to present themselves and there will also be a surprise or two for the players. As space in the hall is limited, invitations will only be sent to the parents of Gr 7 learners, who will be sharing their last Big Brag occasion with us.

4.                   SUPPORT

As you know, such a project is not possible without your support.  I therefore request that you respond positively to our plea for assistance.  We would like to receive our Bloemfontein friends in true Cape style and be assured of a visit to them in future.  You, as parents, are requested to join in the activities on Friday (tennis) and Saturday.  Special provision has been made for the parents on Saturday afternoon after the main rugby match, to socialize with their friends.  There will be a big screen TV to view the rugby test against the All Blacks.  The tuckshop will be open until 15:00.

We trust that you will support this event.  Please refer to the detailed attachment with regard to hosting, traveling etc.

5.                   HOSTING

The touring teams will arrive on Thursday evening, 14 August 2008, at ± 17:30 and will depart on Sunday morning, 17 August at 05:00 from the school by bus.  We need accommodation for the learners for three nights.  You will be host to these learners and will be responsible for them from their arrival Thursday evening until their departure on Sunday morning.  The children will be entertained by Grey on Friday 15 August during school hours.  Every coach has been tasked to find accommodation for their opponents.  This means that every player will host his opponent for three nights.  We realise that this is a big ask but it would be greatly appreciate if you could host at least two learners if not more.  Please bear in mind that we are going to them again next year and we expect them to host our learners.  We would also like to ask parents of learners who are not playing to consider hosting some of our visitors.

Final arrangements will be forwarded to prospective host parents closer to the time.  If you need more information, please do not hesitate to contact your child’s coach.

Please complete the attached reply slip and return it to your child’s coach on Friday 8 August.

6.                   TUCK SHOP

We request the assistance of parents in the tuckshop during our sport weekend.  All assistance is appreciated to ensure the success of the weekend.
